A GST InvoiceNow-ready solution needs accredited connectivity, Peppol registration, IRAS submission capability and tested accounting controls.
A GST InvoiceNow-ready solution should do more than send a Peppol invoice. It must connect through an accredited provider, register the business correctly, receive and transmit the required invoice data and support submission of transaction information to IRAS. The accounting workflow still needs validation, reconciliation, access and exception controls.
Choose the route only after mapping the existing software, transaction volume, customer and supplier formats, GST registrations and implementation deadline. A product label is not a substitute for testing the business’s actual transactions.
Choose between an off-the-shelf and in-house route
IRAS’s GST InvoiceNow requirement page tells businesses using off-the-shelf accounting software to check the IMDA-accredited InvoiceNow-Ready Solution Provider list. The provider should help register the Peppol ID, activate InvoiceNow and enable the GST data-submission feature.
For this reason, a business with an in-house or heavily customised system can work with an accredited Access Point provider. That route needs technical design for the Peppol connection, document mapping, acknowledgement handling and IRAS submission function. Identify who owns each component before requesting quotations.
IRAS estimates that implementation can take about three to twelve months. Use the longer end where the business has several entities, legacy systems, overseas shared services or complex invoice adjustments.
Verify accreditation and current capability
Check the provider against the live IMDA provider information. Record the legal provider name, role, supported software version and date checked. A reseller’s marketing page may not show the accredited entity that operates the connection.
In practice, ask the supplier to demonstrate the specific GST InvoiceNow features, not only general e-invoicing. Confirm sales and purchase invoice transmission, credit notes, debit notes, Peppol acknowledgements, IRAS submission status and error handling.
For a software product already installed, confirm whether an upgrade, new subscription tier or separate connector is required. Include licences, implementation, data migration, training and ongoing transaction charges in the comparison.
Confirm entity and Peppol registration design
Map each GST registration, UEN, branch and accounting ledger to the correct Peppol identity. A group may share finance staff but should not send one entity’s invoices under another entity’s identifier.
At the same time, ask who registers and maintains the Peppol ID, how duplicates are prevented and how a provider change is handled. Preserve the registration confirmation and administrator contacts. Access should not depend on one employee’s personal account.
If the business already has a Peppol ID, confirm its current Access Point and status before creating another connection. Plan the cutover so inbound invoices are not split unpredictably between old and new systems.
Test the document and tax-data mapping
Create a sample set covering standard-rated, zero-rated, exempt and out-of-scope transactions that the business actually uses. Include foreign currency, discounts, deposits, credit notes, mixed supplies and customer self-billing where relevant.
As a result, For each sample, map supplier and customer identifiers, invoice date, supply date, currency, line description, quantity, price, GST rate, GST amount and totals. Check rounding at line and document level. A visually correct PDF can still carry incorrect structured data.

Require wrongful-GST-charge validation
IRAS recommends validation features that help prevent GST-registered customers from claiming input tax on a wrongful GST charge. Ask how the solution checks supplier GST-registration information, invoice fields and unusual tax treatment.
A warning should route the document for review rather than silently changing the supplier’s invoice. Define who contacts the supplier, who can override a warning and what evidence supports the final posting.
For example, Test invalid and borderline cases, not only clean demonstrations. Use a wrong GST number, inconsistent total, duplicate invoice, missing credit-note reference and unsupported tax rate to confirm how the system behaves.
Protect accounting approval and audit evidence
InvoiceNow transmission does not replace purchase approval, proof of supply, three-way matching or payment controls. Map the structured invoice into the existing approval process and prevent an automated import from becoming an automatic payment.
Separate administrator, preparer, approver and payment roles where practical. Log changes to supplier identifiers, tax codes and mappings. Confirm how long message, acknowledgement and submission records remain available and how they can be exported for an audit.
In addition, review data hosting, incident response, business continuity, subcontractors and termination assistance. The company needs a practical way to issue and receive invoices if the main integration is unavailable.
Reconcile InvoiceNow data to the GST return
The solution should provide reports that reconcile transmitted and received documents to the sales ledger, purchase ledger and GST return. Ask how rejected, cancelled, manually entered and non-InvoiceNow transactions appear.
Perform a parallel close before full reliance. Compare document counts, taxable values and GST by tax code. Investigate timing differences and duplicate records. The reconciliation owner should sign off exceptions, not merely confirm that transmission was successful.
