Use an EDGE multiple-location register to separate postal codes, equipment, tenancy, installation and claim evidence for each site.
EDGE allows pre-scoped equipment applications for multiple deployment locations under one UEN, but the company still needs a clean location record. Enterprise Singapore defines deployment locations by postal code, so the register should group units correctly while preserving the equipment and evidence for each operating site.
Build the register before selecting quantities. It prevents one quotation and claim file from hiding where each item is actually installed.
Apply the postal-code rule accurately
The official EDGE FAQ states that pre-scoped equipment can apply to multiple locations per UEN. It defines deployment locations by postal code and says different unit numbers with the same postal code are treated as the same deployment location.
This rule determines how locations are counted for that application context. It does not mean unit numbers, tenancy evidence or physical placement can be omitted from the operating record.
Save the live FAQ, selected equipment activity and application requirements reviewed for the project. Use the Letter of Offer for the approved quantities, locations and conditions.
Establish the applicant's location list
Start with every site where equipment will be used. Record full address, unit, postal code, operating activity, tenancy basis, opening date and site manager. Match the applicant name and UEN to the location evidence.
Group rows by postal code for the official location count, but keep a separate row for each unit and equipment placement. This is important in malls, industrial buildings and shared premises where several applicant operations can use one postal code.
Remove proposed sites that are not yet operating if current tenancy evidence is required. The EDGE current-tenancy guide explains why a future-dated lease does not show present operations.
Allocate equipment before ordering
List model, quantity, serial number when available, unit, purpose and responsible employee. Confirm that the total by site reconciles to the supplier quotation and application.
Use operational demand rather than equal distribution. A company with three outlets may need different quantities because of opening hours, transaction volume or existing assets. Keep the calculation and source data.
Check whether an item serves one site or moves among sites. Mobile use can raise a different custody question, so explain the intended pattern and verify that it fits the activity terms before relying on it.
Control the common commercial documents
A supplier may issue one quotation and invoice for all locations. Add a site schedule to the commercial documents or obtain a supplier allocation that shows quantity and destination. The total must agree across the application, purchase order, delivery notes and claim.
Do not duplicate the same equipment line across sites to make separate local files appear complete. Use one master register with linked evidence identifiers.
If installation, freight or setup is priced by site, keep those costs separate. A combined invoice total without allocation makes it harder to show what was delivered and paid at each location.
Verify delivery and installation by site
Require a delivery note or acceptance record for each unit. Record delivery date, installer, serial number, photographs, site manager acceptance and any defect.
For equipment connected to utilities or a business system, include commissioning evidence. Confirm that each item operates at the intended location rather than sitting in storage.
The EDGE equipment holding-period diary should take over after claim approval. The location register becomes the opening schedule for that one-year custody check.
Handle moves and substitutions before claim
Create an exception process for changes in postal code, unit, quantity, model, supplier or business use. Compare the change with the approved application and seek official clarification or approval where required.
A move between units with the same postal code may not change the official location count, but it can still change tenancy, installation or acceptance evidence. Record it.
A move to a new postal code should never be hidden by leaving the old address on the claim. Update the register and follow the proper grant route before assuming continued support.
Reconcile one claim across all sites
Prepare a claim matrix with approved line, postal code, unit, equipment identifier, invoice, payment, delivery, installation and acceptance. Test totals by postal code and for the whole company.
Keep the annual S$30,000 digitalisation and automation sub-cap in view with the overall EDGE cap described by the FAQ. A multiple-location application does not create a separate cap for each site.
Do not allocate one payment to several claim lines without a clear reconciliation. If the supplier receives instalments, show how the instalments settle the final invoice and confirm full payment where the claim requires it.
Assign local and central ownership
Each site manager should confirm physical delivery and use. A central grant owner should maintain the official application, cost and claim record. Finance should reconcile payment and asset accounting.
Schedule a short pre-claim call across these owners. Ask each site to confirm current location, operation and evidence, then resolve differences against the master register.
For the wider programme context, use the Singapore business support decision guide, the enterprise-support cornerstone. An EDGE multiple-location claim is controlled when postal-code grouping, unit-level custody, equipment quantities and costs all reconcile without guessing where an item went.
## Reconcile equipment to the accounting records
Add purchase date, invoice line, serial number, asset-register reference and payment reference for every unit. Where one invoice covers several locations, allocate each unit deliberately instead of copying the invoice total into every site row.
Ask a person who did not prepare the register to select a sample at each location. They should be able to find the physical item, match its serial number, confirm its operating address and trace it back to the approved quotation and payment.
If an item is transferred, damaged or replaced, preserve the original history and add a dated event. Do not overwrite the first location. Check whether the proposed change affects the approved project or claim evidence before acting, and retain any written clarification from Enterprise Singapore or the appointed administrator.
