Prepare an EDGE AI accounting automation project with clean source documents, exception ownership and measurable close-time savings.
EDGE AI accounting automation should be judged by the quality of its postings and exceptions, not by how many documents it reads in a demonstration. Before applying, finance should define the source documents, accounting fields, approval rules and transactions that require human review. This produces a credible implementation scope, a measurable one-year saving and a cleaner claim file.
Inventory the documents and systems
List supplier invoices, credit notes, receipts, bank records and any other documents the proposed tool will process. Record file formats, languages, monthly volumes, approval routes and where the original is retained. Note handwritten fields, multi-page invoices and suppliers with inconsistent layouts. These are likely sources of exceptions.
Map the destination system and master data. Supplier names, tax registration numbers, chart-of-account codes, departments, projects and payment terms must be reliable before automated posting. Decide whether the tool creates a draft, posts directly or sends an item for approval. The risk differs materially between those designs.
Fit the proposal to the activity
The AI accounting automation activity page describes software that automates accounting tasks and integrates with existing software. It lists a S$5,000 activity cost cap, support for up to 12 months of software costs and an 18-month completion period. Maintenance and GST are listed as non-supported costs.
Use the SMEs Go Digital package builder and reconcile the generated reference to the quotation. Identify users, connected systems, included setup, training and subscription dates. Do not hide additional integration or clean-up work inside a vague professional-services line. Management needs to know the unsupported cost and the staff time required for implementation.
Write the coding and approval rules
Document how the system should identify the supplier, invoice number, date, currency, tax amount, account, cost centre and approver. Set tolerance rules for duplicate invoices, price differences, missing purchase orders and unusual bank details. A model confidence score should not override an accounting rule or delegated authority.
Name the person who resolves each exception and the person who may change rules. Keep a change history. If the system learns from user corrections, test whether a local correction affects other suppliers or transaction types. Separate data-entry assistance from the judgement needed for tax, accruals, capitalisation and related-party treatment.
Build a representative test month
Select a month containing ordinary and difficult documents. Include credit notes, recurring invoices, foreign currency, GST differences, purchase-order mismatches and duplicates. Compare the proposed posting with the approved accounting result. Record precision by field and the time required to correct errors.
Run the same sample after integration and before production acceptance. Test access rights, audit trail, export, backup and failure recovery. The finance owner should be able to retrieve the original document and explain every posted field. An automation that saves entry time but weakens traceability is not ready for use.
Measure close-time benefit honestly
Start with monthly document volume, average handling time and exception rate. Estimate the future time for straight-through items and reviewed exceptions. Include administrator time and reconciliation. Do not assume every invoice will be automated or treat the full salary of a finance employee as a saving when the role continues.
Track duplicate prevention, late postings, month-end adjustments and time from document receipt to approval. State whether the benefit is reduced overtime, avoided hiring or time moved to analysis. The one-year projection requested for the application should show assumptions and a responsible owner, not only a vendor percentage.
Retain claim and audit evidence
Capture the deployed software and unique identifier required by the activity. Match it to the approved package, quotation, invoice, payment and acceptance result. The EDGE FAQ confirms that only approved expenses paid in full can be claimed and that the applicant must remain eligible until submission.
Link the project to the unique identifier record and the AI data readiness register. Use the business support cornerstone if an integrated ERP project or self-funded purchase may fit better.
Protect the payment boundary
Keep invoice reading and accounting entry separate from payment approval. The tool may extract bank details, but it should not make a new beneficiary trustworthy. Changes to supplier accounts need an independent verification route using known contact details. Test whether an invoice with altered bank information, a duplicate number or an unexpected currency is stopped before posting or payment preparation.
Define access by role. A person who configures extraction rules should not automatically approve exceptions and release payments. Review administrator accounts, shared logins, integration credentials and dormant users. Record the audit fields available for each transaction, including original document, extracted value, user correction, approval, export and deletion. Finance should be able to reproduce the history without relying on the vendor’s staff.
Plan the month-end control before launch. Reconcile document counts, total values, GST fields, posting batches and rejected items between the source inbox, automation tool and accounting ledger. Investigate documents that remain in processing or appear in more than one batch. Retain a control total so a successful integration message is not mistaken for a complete ledger.
For acceptance, sample both straight-through and corrected transactions and have an experienced finance employee confirm the accounting result. List open defects by financial impact and decide which block production. The signed result should identify the deployed configuration, test period and responsible owner. That record supports operational governance and the claim without suggesting that automated extraction replaces professional accounting judgement.
A sensible accounting automation project starts with clean master data, explicit posting rules and a difficult test month. If finance can trace each result and own the exceptions, the company can assess the grant activity on operational evidence rather than sales claims.
