A relocating-family SG Arrival Card record should preserve each traveller’s official submission, arrival details and electronic visit pass. The SG Arrival Card is an arrival declaration, not a visa or a guarantee of entry. It is also separate from a later Dependant’s Pass, Long-Term Visit Pass, Student’s Pass or other immigration transaction.

Use one family register, but keep one identity and outcome row per traveller. Children, spouses and helpers can have different passport, visa, health-declaration and follow-up requirements.

Confirm who must submit

Check the current exceptions on the ICA SG Arrival Card page. The declaration generally applies to foreign visitors arriving in Singapore, while specified travellers and transit situations are treated differently.

Do not assume that every family member is covered by one adult’s status. Record nationality, passport number reference, arrival mode and the basis for any exception.

Where group submission is used, review each person’s data before sending it. A group convenience feature does not merge the travellers’ immigration outcomes.

Use only official free channels

ICA states that SG Arrival Card submission is free through its e-Service or the MyICA mobile application. The ICA public advisory warns about commercial and misleading websites.

Start from the ICA website or official application. Do not search for a paid shortcut, and do not enter passport or payment data into an unverified site.

If a family member has used a third-party service, verify the actual ICA submission independently. A merchant receipt does not prove that ICA received a valid declaration.

Submit within the official arrival window

ICA requires submission within three days before arrival, including the day of arrival. Build the travel calendar around the scheduled entry date and update it when a flight moves outside the declaration window.

Record the arrival date, flight or conveyance, Singapore address, contact email and health-declaration answers from the traveller. Do not copy old answers without review.

Use a working checklist that shows prepared, reviewed, submitted and acknowledged. Prepared information is not a completed declaration.

Protect passport and health information

Restrict access to the people who prepare or verify the declaration. Keep passport images, health data and email access in approved secure systems.

The family register can contain masked identifiers, submission status, date and secure document references. Avoid placing unrestricted copies in shared travel chats.

Delete unnecessary working copies after the evidence is saved in the correct repository. Keep what the later immigration process or record-retention policy genuinely needs.

Preserve the submission outcome

Save the acknowledgement or reference produced by the official channel. Record the submission time and the email address used for immigration correspondence.

Check that names, passport details and arrival information match the final travel documents. If a material fact changes, use the current official correction or resubmission route rather than editing a screenshot.

Brief each adult traveller that the declaration does not remove the need for a visa where one is required and does not guarantee entry.

Retrieve and verify the electronic visit pass

ICA issues eligible foreign visitors an electronic visit pass instead of a passport stamp. The ICA e-Pass retrieval page explains the email and retrieval routes, including use of the Disembarkation and Embarkation number where needed.

After clearance, confirm the granted stay, last day of stay and passport details for each visitor. The booked return flight or planned relocation schedule does not determine the permitted stay.

If the email is missing, use the official retrieval service and verify the information entered. Do not rely on an unofficial message or a prior trip’s e-Pass.

Hand off to the correct pass process

Connect the arrival record to any in-principle approval, medical examination, appointment, pass issuance or address update that follows. Record the responsible person and deadline for each traveller.

Do not treat the e-Pass as permission to work or as evidence that a long-term pass has been issued. Follow the conditions of the relevant pass authority.

If the long-term process is delayed, check the permitted stay and official options before it expires. An application receipt alone may not extend a visit pass.

Close the arrival record with actual outcomes

After the family is settled, reconcile the declaration, e-Pass, long-term pass outcome and any departure. Correct the travel calendar and retain the authoritative records required for future applications.

Review any mismatch while facts are recent. Examples include a changed address, a passport renewal, an unreceived email or a different granted stay.

Give the family a concise personal record for each traveller: the passport used, arrival date, granted last day of stay, long-term pass task and responsible contact. Keep sensitive supporting documents in the secure repository rather than attaching them to the summary.

Check the return or onward-travel plan against the granted stay until the long-term pass is issued. If the plan changes, assign an owner to verify the current official route before the stay expires.

Close temporary access to the declaration and remove redundant copies from shared devices. The final record should remain retrievable for an authorised follow-up without leaving passport and health information across multiple inboxes.
