Use group submission without merging records

Record the arrival status actually granted
Entry remains subject to immigration clearance. After arrival, retain the official visit information relevant to the child’s case. If an email is missing, use ICA’s official e-Pass enquiry route rather than relying on a screenshot sent by an unrelated party.
Do not assume that the SG Arrival Card acknowledgement or an IPA proves the length of stay granted at the checkpoint. Record the actual immigration pass details used for the Dependant’s Pass issuance transaction.
Hand the file to the authorised pass issuer
MOM’s current Dependant’s Pass application page states that the child must be in Singapore when the pass is issued. The issuer needs passport details, Singapore contact and residential details, current visit or immigration pass details, and the card delivery address.
Give the sponsoring employer, main pass holder or authorised employment agent only the records needed for the official transaction. Record who received them and any deadline. If the child’s visit status may expire first, follow the current official instructions rather than assuming an extension is available.
Keep vaccination and identity work separate
Some foreign-born children need vaccination verification for a Dependant’s Pass. Treat that as a separate requirement with its own evidence and owner. Do not use a vaccination document to resolve a passport or arrival-record mismatch.

Manage a passport or travel-date change
If the child receives a new passport or the family changes flights, review every record before arrival. Update the SG Arrival Card through the official feature where required and check whether the IPA or pass file also needs action. Do not assume that an airline update changes the immigration declaration. Likewise, an updated declaration does not alter the IPA. Assign the parent, travel coordinator and pass issuer their separate tasks, then confirm completion against the current documents.
Prepare for a missing acknowledgement or email
Record the email used for the child’s declaration and check spam or filtered folders. If the acknowledgement cannot be found, use the official service to confirm or update the submission. Avoid re-entering the child under a different identity simply to obtain another email.
After clearance, use ICA’s official e-Pass enquiry route if the arrival record is missing. Give the pass issuer the official result and passport evidence. A family chat message may coordinate the task, but it is not the immigration record used for issuance.
Close with the notification letter and digital pass
After issuance, compare the child’s name, FIN, pass type and validity with the approved case. Record whether fingerprint and photo registration is required. Help the family set up the digital pass when appropriate and retain the notification letter for the valid period.
